How HBIS handles the details you send us through this website.
Who we are
This website, hbis.io, is run by Hospitality Business Intelligence Solutions (“HBIS”), GEMH No 177134605000. HBIS is responsible for the personal data described in this policy.
Hospitality Business Intelligence Solutions (HBIS) Thessaloniki: Tsimiski 5, Thessaloniki Email: info@hbis.ioWhat we collect
When you contact us. When you press send, our contact form emails your request to info@hbis.io. Our website does not store it. We receive your name, work email, phone number (optional), hotel or company, number of properties, PMS, the products you are interested in, your preferred time and your message. The email also lists the page and campaign that brought you to the form. If sending fails, your own email app opens with the request written out instead.
When you ask to hear about FirstLight. We keep your email address on a list in Brevo and email you when FirstLight launches. Every email has an unsubscribe link.
When you email us directly. We receive your contact details and what you tell us.
When you browse the site. We count visits with Plausible Analytics, which works without cookies and without collecting personal data. We see totals such as page views and the country a visit came from, never who you are. Like any web host, Cloudflare processes your IP address and browser details to deliver the pages and protect the site from attacks.
You do not have to give us your details. We need at least your name, work email and company to answer a request.
We do not ask for special categories of personal data and we do not knowingly collect data from children.
Why we use it
- To answer your request: a demo, a meeting, a call or a question. This is a step you asked us to take before a possible contract (GDPR Article 6(1)(b)).
- To follow up on that request (our legitimate interest in answering hotels that contact us, GDPR Article 6(1)(f)). If you become a client, we use it to provide our services under our agreement with you (Article 6(1)(b)).
- To understand which pages are useful, using visit totals only (our legitimate interest in improving the website).
- To keep this website secure and running (our legitimate interest).
We do not sell your data, use it for advertising or make automated decisions about you.
Cookies and analytics
This website does not use cookies for tracking or advertising, so there is no cookie banner. Plausible Analytics measures visits without cookies and without personal data.
Our fonts are served from this website. Your browser does not connect to Google or any other font service to show them.
The FirstLight demo on this site saves a few display settings, such as the sample hotel and text size, in your browser’s local storage so the demo works. They stay on your device and you can clear them in your browser at any time.
Who we share it with
Your request is read by the HBIS team who handle demos and client contact. We use service providers who process data only on our instructions. Cloudflare hosts this website and passes the contact form on. Brevo delivers it to our inbox. Our email provider stores the messages we receive. We share personal data with authorities only when the law requires it.
Some of these providers may process data outside the European Economic Area. When they do, the safeguards GDPR requires apply, such as the European Commission’s Standard Contractual Clauses.
How long we keep it
We keep your request for as long as we need it to answer you and follow up. If you do not become a client, we delete it no later than 24 months after our last contact. If you become a client, we keep it for as long as our business relationship lasts and then for as long as Greek tax and commercial law requires. After that we delete it.
Your rights
Under the General Data Protection Regulation (GDPR) you can ask us to:
- Show you the personal data we hold about you.
- Correct it if it is wrong.
- Delete it.
- Limit how we use it.
- Stop using it where we rely on our legitimate interest (your right to object).
- Give it to you in a format you can take elsewhere.
Email info@hbis.io and we will reply within one month. If you are not happy with our answer, you can complain to the Hellenic Data Protection Authority (dpa.gr).
Changes to this policy
If we change how we handle personal data, we will update this page and the date at the top.
